SportsDock ("we", "our", or "us") respects your privacy. This policy describes how we collect, use, disclose, and protect personal information when you use our website, mobile applications, and related services, including for app store privacy disclosures and compliance with applicable laws such as Quebec's Law 25.
1. Person responsible for the protection of personal information

2. Information we collect
We may collect:
- Account and identity information: name, email address, password, phone number (optional), preferred language, and, if you choose a social login option, the identifier and basic profile information provided by that login provider.
- Profile and service information: role (player or coach), profile photo, bio, sport preferences, skill level, city, postal code, team information, player profile details, and other information you add to your profile or submit when creating games, teams, listings, reports, ratings, or similar content.
- Communications and activity: in-app messages, match or join requests, notification records, support requests, account preferences, and other interactions you make through the service. For certain messaging features, we may also retain limited presence data, such as the active conversation or the time of the last chat activity, to improve notification delivery and reduce duplicate alerts.
- Device and technical information: IP address, browser type, device type, operating system, app or browser version, locale, session information, log information, real-time connection data needed for certain features, and device tokens used to send push notifications to the mobile app. When you register the mobile app, we may also retain the device platform (for example iOS or Android) and an optional device name.
- Location-related information: the city, postal code, venue, and similar location details you provide, as well as map coordinates derived from those details or supplied through a location picker where available. We do not state that we collect precise background device location unless and until a version of the app explicitly requests that permission.
3. How we use your information
We use your information to:
- Provide, operate, and improve our services, including matching players and coaches, organizing games, managing teams, powering messaging, and sending notifications.
- Authenticate your identity and manage your account.
- Send service-related communications such as match requests, join requests, password resets, verification codes, and in-app, email, SMS, or push notifications according to your settings, your mobile app registration status, and the permissions you grant. In some cases, we may prioritize push notifications instead of SMS when a mobile device is registered to your account.
- Process content you choose to upload, such as profile images or team images.
- Support discovery, distance, mapping, and location-based features using the location information you provide or coordinates generated from that information.
- Enable certain real-time features, including messaging, presence status, and activity updates.
- Comply with legal obligations and enforce our terms.
4. Mobile app permissions and device features
Depending on the features you use, our mobile applications may request access to device capabilities. For example:
- Push notifications: if you allow notifications, we store a device token along with limited device metadata, such as the platform and, if provided, the device name, so we can send service notifications such as messages, match updates, or join-request updates. Push delivery may rely on Google Firebase Cloud Messaging or equivalent services.
- Photos or camera: if you choose to upload a profile photo, team image, or other image content from the mobile app, the app may request access to your camera or photo library.
- Entered or selected location data: we use the location details you enter for game discovery, matching, and map features. If a future version of the app requests device location permission, we will request it through your device's permission flow and use it only for the disclosed feature.
- Device calendar: if you choose to add a game or match to your calendar, the app may request calendar permission and send the selected event details to your calendar app. SportsDock does not read your existing calendar events through this feature.
You can generally manage device permissions through your iOS or Android settings. If you deny certain permissions, some app features may be limited.
5. Cookies and similar technologies
On the website, we use session cookies and similar technologies that are strictly necessary for operation, for example to keep you signed in and maintain security. We may later use analytics or advertising cookies; if we do, we will obtain consent before setting non-essential cookies where required by law. You can withdraw consent or manage preferences through the cookie banner or your browser settings.
6. Disclosure and sharing
We may share your information with other users where necessary for the service, for example your name, profile details, and game-related information with players or coaches you interact with. We may also share data with service providers who help us operate the service, such as hosting, storage, email delivery, SMS delivery, push notification, authentication, mapping, geocoding, real-time messaging, and customer support providers. This may include Twilio for certain SMS messages, Google Firebase Cloud Messaging for certain push notifications, OpenStreetMap/Nominatim or Google Maps for certain location or mapping features, and social login providers when you choose that sign-in method. Any third party with whom we share user data is expected to provide the same or an equivalent level of protection. We do not sell personal information, and we do not share personal information for third-party advertising tracking. We may also disclose information where required by law or where reasonably necessary to protect our rights, users, or the public.
Payment information
For online payments, we share transaction information with our third-party payment processor, such as the name, email address, match and payment identifiers, amount, currency, merchant account, refunds, disputes, receipt, and payment dates. Hosts provide identity, business, banking, tax, and verification information directly to the processor for their payment account.
SportsDock does not receive or store full card numbers, card security codes, or bank login credentials. The payment processor handles those details under its own privacy policy. We retain records needed for receipts, refunds, support, fraud prevention, accounting, disputes, and legal compliance.
7. Retention, deletion, and security
We retain personal information only for as long as necessary for the purposes described in this policy or as required by law. We implement reasonable technical and organizational safeguards to protect personal information against unauthorized access, loss, misuse, or disclosure.
If you request account deletion, we may first soft-delete the account for a limited grace period, currently up to 30 days, before permanent deletion, unless we need to retain certain information for legal, security, fraud-prevention, or record-keeping reasons. Device tokens used for mobile push notifications are deleted when no longer needed or when the related account is deleted or unregistered.
8. Your rights and choices
Depending on your jurisdiction, including Quebec, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Request deletion or anonymization of your information, subject to legal exceptions.
- Withdraw consent where processing is based on consent.
- Manage notification permissions and communication preferences, including email, SMS, and push notifications.
- Lodge a complaint with a competent authority.
To exercise these rights, contact us at the email address provided in section 1. Where available, you may also update or delete certain information directly from your account settings.
9. International transfers
Your information may be processed or stored in Canada or other countries where our service providers operate. Where required by law, we ensure appropriate safeguards are in place for such transfers.
10. Changes to this policy
We may update this privacy policy from time to time. We will post the updated version on this page and indicate the last updated date. If our practices materially change, we may also provide additional notice where required, including in-app notice or updated app store disclosures.
